Privacy Policy

Last updated: 15 October 2026

1. Who we are

Omniconverse ("we", "us") provides websites and marketing systems for home service businesses in South Africa. We are the "responsible party" under the Protection of Personal Information Act 4 of 2013 (POPIA) for the personal information described in this policy, except where we process information for our clients as their operator (see section 9).

Information Officer: Nkululeko Cele. Email: [email protected]. Registered business name: OMNICONVERSE, business number 2026 / 744228 / 07.

2. What this policy covers

This policy explains how we collect, use, share and protect personal information when you visit our website, book a call, contact us or become our client. It does not cover our clients' own websites or customer records, which are governed by our clients' own privacy notices.

3. Information we collect

  • What you give us: your name, phone number, email address, business name, trade and area, and anything you write in a form, booking or message.
  • Client information: billing details, business and domain details, access details we need to provide the services, and your communications with us. Payments are processed by Paystack, and we do not store full card numbers.
  • Collected automatically: device and browser type, pages visited, approximate location and referral source, through cookies and similar technologies.
  • Call and message records: if you call or message our business number, we may log the call or message details.

Our services are for businesses, and we do not knowingly collect information about anyone under 18.

4. How and why we use it

  • to respond to your enquiries and arrange calls (your consent, and steps before a contract);
  • to provide, bill and support our services (to perform a contract);
  • to send service messages such as invoices, updates and notices about your plan (to perform a contract);
  • to send marketing about our services, where you have agreed or where the law allows, with a way to opt out every time (consent, and the POPIA direct marketing rules);
  • to keep our systems secure, prevent fraud and improve our website (our legitimate interests);
  • to meet legal and tax obligations.

5. Who we share it with

We do not sell personal information. We share it only with service providers who help us run our business, under agreements that require them to protect it, including:

  • our website, CRM and communications platform (GoHighLevel);
  • telephone, SMS and email providers;
  • Google services, for example analytics and Google Business Profile tools;
  • Paystack and our accounting providers;
  • professional advisers, and authorities where the law requires.

6. Where information is stored

Some of our providers store or process information outside South Africa, including in countries such as the United States. Where this happens, we take steps to make sure the information stays protected, as POPIA requires for cross-border transfers.

7. Cookies and embedded content

Our website uses cookies and similar technologies for essential functions and, where we enable them, analytics. Our service demo videos are hosted on YouTube and embedded using YouTube's privacy-enhanced mode, which limits tracking until a video is played. You can change cookie settings in your browser.

8. How long we keep it

We keep personal information only for as long as we need it for the purpose it was collected, or as the law requires. Enquiries that do not become clients are kept for 1 year, and client records for 3 years. We then delete or de-identify it.

9. Information we process for our clients

Our clients' customers may give us information through a client's website, forms, calls and messages. In that case the client decides why and how it is used, and we process it for them as their operator. If your information is in a client's system and you want to use your rights, please contact the business you dealt with first. We will help them as needed.

10. How we protect it

We use reasonable technical and organisational measures, such as access controls and encryption in transit, to protect personal information from loss, misuse and unauthorised access. No system is completely secure. If a security compromise affects your information, we will notify you and the Information Regulator as POPIA requires.

11. Your rights

Under POPIA you can ask us to:

  • confirm whether we hold information about you, and give you access to it;
  • correct or delete information that is inaccurate, out of date or no longer needed;
  • stop using your information for direct marketing, or object to other processing;
  • withdraw a consent you gave us (this does not affect what we did before).

To make a request, email [email protected]. We may need to verify your identity first. If you are unhappy with how we handle your information, you can complain to the Information Regulator (South Africa) at inforegulator.org.za. We would appreciate the chance to fix the issue first.

12. Changes to this policy

We may update this policy. The latest version is always on our website, with the date it was last updated. If we make material changes, we will let you know.
